STANDING COMMITTEE DESCRIPTIONS

Standing Committee- Overview

In accordance with Sections 4.06 and 7.01 of the organization's bylaws, the President shall appoint the chairpersons of all standing and special committees and shall determine the size of each committee. The President shall also serve as an ex officio member of all committees and may chair one or more standing committees if necessary. Furthermore, as stated in Section 5.02, the Executive Board holds the authority to approve the plans and work of all standing and special committees.

Standing Committees - General Requirements

In accordance with Sections 4.02 and 4.03 of the organization's bylaws, the general requirements for committee participation are that active voting members shall be eligible to chair and serve on both standing and special committees. These provisions ensure effective leadership, broad member participation, and appropriate oversight in fulfilling the organization’s mission.

First Aid Committee

Reports To: Band Director


The First Aid Committee is responsible for maintaining the First Aid Backpack used during practices, football games, and performances. This includes regularly checking and restocking supplies and ensuring all items, especially medications, are current and not expired. This committee is not authorized to administer medication but ensures readiness for minor first-aid needs during all activities.

Ways and Means Committee

Reports To: Vice President of Fundraising


The Ways and Means Committee oversees major fundraising initiatives throughout the year. This includes organizing and executing spirit nights, the Program Book, raffles, Loteria/Bingo events, and other fundraising campaigns. Committee members help plan, promote, and manage these efforts to support the financial needs of both the Marching and Indoor seasons.

Social Media & Website Committee

Reports To: President


The Social Media & Website Committee is responsible for keeping the community informed and engaged by contributing to the official Facebook page and maintaining the official website. This includes updating event calendars, sharing announcements, posting photos and highlights, and ensuring that all information, such as competition schedules, fundraiser details, meeting dates, and forms, is current and accessible. This committee plays a vital role in communication and public outreach.

Membership & Volunteer Committee

Reports To: Vice President of Volunteers


This committee manages both volunteer coordination and RVHS Band Booster Club membership. On the volunteer side, the committee is responsible for assisting in volunteer sign-up drives, helping with the collection of volunteer applications, setting up sign-ups for approved district volunteers, and ensuring volunteers are assigned to support football games, competitions, and other events. Volunteer hours are tracked and submitted to the district as required. On the membership side, the committee collects membership forms and may assist in promoting booster membership throughout the year.

Meals & Concessions Committee

Reports To: Vice President of Volunteers


The Meals & Concessions Committee ensures students are provided with meals at home football games and other designated events. Meals are at times served on and off campus, and the committee is responsible for gathering meal options, coordinating with approved vendors, and presenting choices to the Board within the approved budget. Additionally, the committee organizes and staffs concessions during events as needed, helping to support the financial needs of both the Marching and Indoor seasons.

Hospitality & Spirit Committee

Reports To: President


The Hospitality & Spirit Committee is responsible for fostering a supportive and spirited atmosphere for the students and parents throughout the Marching and Indoor seasons. Duties include organizing send-offs when students depart for competitions, decorating the band hall, and providing snacks after practices. This team also manages an inventory of spirit items (such as signs, noisemakers, banners, and pompoms) to display during football games and ensures they are collected and stored after use. Their efforts help build morale and school pride throughout the year.

Senior Parent Committee

Reports To: President


The Senior Parent Committee is dedicated to celebrating and honoring the graduating senior band and color guard members. Responsibilities include, but are not limited to, organizing and distributing stoles and sashes, coordinating with the district’s Senior Parent Night, and planning the senior recognition area at the end-of-year Band and Color Guard Banquet alongside the Banquet Committee chair. This committee ensures that senior students and their families are meaningfully recognized for their dedication and achievements throughout their time in the program.

Banquet Committee

Reports To: President


The Banquet Committee is responsible for executing the annual Band and Color Guard banquet. Responsibilities include collecting quotes from various venues, coordinating with vendors as needed (such as catering or entertainment), and managing decorations as needed. The committee submits all plans, recommendations, and budgets to the Board for approval, helping ensure a memorable and well-organized celebration for students, families, and staff.

Field Crew

Reports To: President


The Prop Crew is responsible for assisting in the creation, transportation, and handling of props used during the Marching Band and Indoor Program performances. This includes constructing or preparing props, as well as loading and unloading them on and off the football field or stage during events. The committee ensures that all props are safely stored and properly maintained throughout both the Marching and Indoor seasons.

Audit Committee

Reports To: Executive Board


The Audit Committee is responsible for conducting the annual review of the

organization’s financial records to help ensure accuracy, transparency, and

accountability. This review is required to maintain compliance with the organization’s insurance policy and to support sound financial practices. The committee shall examine bank statements, financial reports, receipts, disbursements, and other relevant documentation. Members of the Audit Committee should not include individuals who had primary responsibility for managing or reconciling the organization’s finances during the fiscal year under review and should not have check-signing privileges. The Audit Committee shall conduct the financial review and submit a written summary of its findings no later than 15 days after the end of the fiscal year. The committee shall present the summary to the Executive Board and retain a copy for the organization’s records.

Special Committee Descriptions

Bylaw Committee

Reports To: President


The Bylaws Committee shall be established as needed to review, draft, and recommend

amendments or revisions to the organization’s Bylaws as outlined in Article XII –

Amendments/Revisions. The committee is responsible for ensuring that the Bylaws

remain current, clear, and in compliance with applicable laws and regulations.

This special committee shall dissolve automatically upon completion of its

assigned task and after the proposed changes are voted upon by the membership.
